Job Summary

The Internal Messenger/Receptionist plays a crucial role in maintaining clear communication and efficient operations within the company. This position is responsible for handling internal communications through various channels, managing front desk operations, and providing excellent customer service to both internal and external stakeholders.

Key Responsibilities

Reception Duties:

Greet and direct visitors appropriately, ensuring they feel welcomed.

Answer, screen, and forward incoming phone calls while providing basic information as needed.

Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges).

Internal Messaging

Handle and route internal communications effectively and efficiently.

Ensure rapid dissemination of information within departments according to established protocols.

Manage company-wide notices and updates via emails or other communication tools.

Administrative Support

Assist with scheduling and coordinating meetings, interviews, and appointments.

Maintain the reception area and all common areas in a clean and tidy manner at all times.

Provide general administrative and clerical support as needed.

Mail And Package Handling

Receive, sort, and distribute daily mail/deliveries.

Manage outgoing mail and coordinate with courier services.

Record Keeping

Maintain records and logs of communication, incoming and outgoing mail, and visitor registers.

Assist in maintaining office files, ensuring they are kept up-to-date and organized.
